Ceylon Cold Stores PLC (CCS), manufacturer of Elephant House Soft Drinks and Ice Creams is a leading consumer food company in Sri Lanka. CCS is a subsidiary of John Keells Holdings PLC.
The company is seeking a suitable candidate to fill the position of Executive - Human Resources. The position exists to manage labor and staff related IR & legal matters, salary administration & HR operational functions of all non-executive staff of the company and man power employees within statutory and organizational guidelines with the objective of ensuring that all HR matters pertaining to non-executives are taken care of and a smooth work flow is achieved within organizational & statutory guidelines
Job Responsibilities
Employee Lifecycle Administration
- Prepare and issue employee-related documentation including appointment letters, retirement notices, termination letters, resignation acceptance letters, service certificates, salary particulars, increment letters, and other employment correspondence.
- Maintain and update employee records, personal files, and HIVE system data for manual and clerical employees.
- Coordinate annual increments, merit increments, upgrades, gratuity payments, and other employee-related transactions with the Finance Department.
Manpower Planning and Contract Workforce Management
- Coordinate manpower planning and deployment in line with factory operational requirements.
- Liaise with supervisors and manpower suppliers to ensure adequate staffing, attendance verification, contract renewals, and compliance with grooming and FMCG workplace standards.
- Verify manpower attendance and facilitate monthly payment processing through Finance.
Employee Welfare, Facilities, and Vendor Management
- Ensure the smooth operation and administration of employee welfare facilities, including the canteen, welfare shop, medical center, linen room, and holiday bungalows.
- Monitor and renew service contracts for outsourced facilities and other vendors.
- Coordinate employee welfare initiatives, including uniforms, safety items, employee benefits, and welfare schemes.
Employee Relations and HR Operations
- Handle employee grievance management and disciplinary matters, including obtaining statements, conducting preliminary investigations, and preparing inquiry summaries.
- Administer staff welfare programs such as PF loans, the Funeral Aid Scheme, holiday notices, and other employee support initiatives.
- Prepare payment notices and coordinate related activities with Finance, EFC, and Group HR.
Reporting and Holiday Bungalow Administration
- Prepare periodic HR and workforce reports for management, including absenteeism and manpower-related reports.
- Manage holiday bungalow reservations, payments, correspondence with bungalow keepers, contract renewals, and all related administrative activities for company holiday bungalows.
Person Specifications
- Degree in Human Resources Management or equivalent with 1-2 years HR experience together with Diploma in Personnel Management.
- Broad understanding of the FMCG industry manpower operations and different types of labor related processes.
- Knowledge in Sri Lankan Labor Law, Market/Industry Norms, Industrial Relations and Labor Legislations.
- Possesses strong business acumen with the ability to build high-performing teams, think analytically, and drive innovation. Demonstrates excellent communication, adaptability, and negotiation skills, along with sound decision-making and problem-solving abilities. Highly organized with strong planning capabilities and keen attention to detail.
