Executive - Stores

Job Responsibilities

• Monitoring stocks and ensure requisitions are generated in the system when required;  Use of annual forecast and rolling forecast for placing orders; Liaising with suppliers; Communicating to management regarding possible over stock situations in order to mitigate same; Analysing and reporting on stock holdings costs and stock turn to management on a monthly basis; Checking and releasing GRN's in a timely manner in order to ensure adequate stocks are available for production.
• Closely monitor the inventory movements and make sure to maintain the inventory accuracy at 100%.
• Monitoring 5S in stores; Ensuring that a systematic method is used for storing of goods; Making available relevant information to auditors in a timely manner; Ensuring hygenic conditions are maintained in stores; Visiting outsourced stores regularly and ensuring that they are maintained as per the standards agreed upon in contracts; Liaising with the QA department to ensure that products which are received comply with quality standards in order to ensure that the no substandard products are used in the production process.
• Handle administrative duties of the team; Overtime calculation/monitoring staff; Controlling of overtime in order to ensure all administrative duties are completed and accurate.
• Approve requisition/purchase order raised & inform accounts department about pending issues; track payments; monitor variances & provide feedback; address internal & external queries in order to ensure healthy accounting practices.
• Analyze stock movements, wastage status & prepare monthly reports; seek approval & send it to relevant departments; submit report on compliance in order to provide desired information on time. Monitor KPIs ,analyze and present the performance in monthly meeting.
• Responsible for maintain applicable ISO requirements related to QMS,FSMS, EMS & OHSMS in respective area.

Person Specifications

• Degree/Diploma in Warehouse Management / Materials Management or equivalent from a recognized Institute / University. Minimum of 2-3 years working experience in a SAP based Manufacturing environment is preferred.
• Understanding of inventory control and stores management, preferably related to consumer food products.
• Possess knowledge in manufacturing consumer food products, material management and stock maintenance. Knowledge of the MM module in SAP would be an added advantage.
