Storekeeper & Administration Executive
Ceylon Cold Stores PLC (CCS), manufacturer of Elephant House Soft Drinks and Ice Creams is a leading consumer food company in Sri Lanka. CCS is a subsidiary of John Keells Holdings PLC.
The company is seeking a suitable candidate to fill the position of Storekeeper & Administration Executive. To ensure accurate, timely and well-controlled management of centrally held restaurant inventory while providing reliable day-to-day office administration support. The position is responsible for raising purchase requisitions for centrally sourced raw and packaging materials and low-stock items, processing goods receipts, maintaining approved inventory levels, executing system stock transfers, safeguarding and issuing stock, supporting stock counts, and checking logistics running records. The role also ensures smooth office operations by arranging drinking water, stationery and other small-value items, coordinating purchase requisitions and orders for letterheads and business cards, managing janitorial services, and monitoring the service provider responsible for live plants. The expected allocation of time and accountability is approximately 70% storekeeping and 30% office administration.
Job Responsibilities
- Inventory Control, Storage & Replenishment, Maintain approved inventory levels for centrally held raw materials, packaging materials and other centrally managed items; monitor balances, safeguard and organize stock, apply FIFO / FEFO where relevant, and raise PRs for low inventory IN ORDER TO ensure product availability while minimizing shortages, expiry, damage and excess stock.
- Receiving, GRN, Transfer & Issue Processing, Receive centrally sourced raw and packaging materials, verify quantities and supporting documents, process GRNs, execute approved system transfers and issue stock against authorized requests to maintain an accurate audit trail and deliver the correct stock to operations on time.
- Stock Counts, Logistics Records & Reporting, Conduct central-store stock counts, support Finance / Procurement verification, investigate variances, maintain store records, sign off applicable vehicle running charts and compare running charts IN ORDER TO protect company assets, ensure reliable reporting and support transport-cost control.
Person Specifications
- GCE A/L or equivalent; a certificate or diploma in stores, inventory, logistics, supply chain, business administration or a related field is preferred.
- 1–3 years of experience in storekeeping, inventory control, warehousing, procurement coordination or office administration.
- Understanding of purchase requisition, purchase order, goods-receipt and stock-transfer processes; understanding of inventory levels, reorder requirements, stock rotation, storage discipline and stock-count controls; awareness of basic food and packaging-material handling, hygiene and quality requirements; understanding of approved-supplier, petty-cash and office-administration procedures; and ability to balance operational urgency with documentation, approval and cost-control requirements.
- Knowledge of inventory receiving, storage, issuing and reconciliation; PR, PO, GRN and system-transfer workflows; inventory-level monitoring and replenishment; stock counts, variance identification and audit trails; FIFO / FEFO, stock rotation and basic storage standards; transport running charts and supporting documentation; office consumables, printing and service-provider administration; and basic procurement, petty-cash and approval controls.
