Manager – Facilities Management

The Job Role:

 

The person will be responsible ensure the smooth running of security, mailroom services, welcome desk, travel desk, and facility management operations, ensuring that employees, customers, and visitors feel welcomed, secure, and supported in their interactions with the organization.

 

Principle Accountabilities:

 

  • Developing and implementing procedures, collaborating with the manager, for efficient and effective mailroom operations
  • Planning and executing security protocols to ensure the safety of personnel and property
  • Supervising the Travel Desk to ensure seamless travel arrangements for employees. Also, verify travel requests as per company guidelines
  • Driving the facility management team to ensure smooth running of the facilities and monitor usage of equipment and materials across facilities by staff
  • Assisting the Admin, Procurement and Facilities Management Sub-Head in developing and implementing policies and procedures to improve customer service
  • Managing and supervising mailroom activities, including receiving and distributing mail, packages, and deliveries
  • Ensuring proper functioning of office equipment, including printers, copiers, and fax machines
  • Overseeing security operations, including access control and surveillance
  • Monitoring functioning of the welcome desk, answering incoming calls, and providing excellent customer service through welcome desk team
  • Monitoring and tracking mailroom inventory and supplies, ensuring adequate stock levels
  • Track and report security incidents and prepare incident reports as necessary
  • Monitoring facility maintenance needs to the facility management team
  • Supporting the facility management team for lease renewals, negotiations
  • Ensure tagging of new assets acquired is done on time and accurately
  • Overseeing the supplier invoice verification process is carried out accurately before it goes to the finance team for processing.
  • Ensuring maintenance accurate records of travel bookings and expenses through support staff
  • Ensure compliance with Health and safety regulations and standards.

 

 

The Applicant should possess:

 

  • Bachelor's degree in any discipline from a recognized institute. MBA or equivalent qualification will be an added advantage
  • Qualification from a recognized professional institute will be an added advantage.
  • Minimum 03-04 years of experience in Assistant Manager level with 10+ years overall experience.
  • Sound knowledge of office procedures, equipment and Health & Safety guidelines
  • Familiarity with security protocols and welcome desk operations
  • Excellent interpersonal and negotiation skills
  • Impeccable attention to detail.
  • Ability to work independently and in a team-oriented environment
