     The Job

The person will be responsible to Provide comprehensive administrative and operational support in the areas of Capex/Opex system data inputs, purchase order generation, IT inventory management, invoice verification.

 

     Principal Accountability:

  • Manage Capex/Opex system data inputs, generate purchase orders (POs), and create IT inventory in accordance with company policies and procedures
  • Obtain SAP codes from the Finance team and input them into the IT procurement system to ensure proper coding and tracking of IT assets
  • Verify invoices received from Procurement and Logistics, IT, Life Ops, HR against approval, narration, invoice number, and amount, and schedule them for spend committee approval
  • Cross-check consumption and submit physical invoices for utility bills, drinking water bills, copier bills across the branch network to Finance for payment processing
  • Generate IT and non-IT payment slips to close transactions in a timely and accurate manner
  • Prepare monthly controls accounts for all budget lines of the Procurement division, ensuring accuracy and compliance with accounting standards
  • Reconcile open/close POs in every quarter, ensuring accurate recording and reporting of procurement activities
  • Maintain proper documentation and filing of all invoices, purchase orders, and other financial records
  • Collaborate with other departments, such as Finance and Procurement, to ensure seamless and efficient administrative processes
  • Provide support in maintaining and updating the IT inventory and procurement systems, ensuring data accuracy and integrity

 

Qualifications and Experience:

  • A bachelor’s degree from a recognized University in Business Administration or any relevant principle.
  • Part qualification or Certificate level will be an added advantage
  • Minimum 1-2 years of experience in PO generations and basic understanding of Procurement.
  • Excellent administration and organizational skills
  • Proficiency in MS office suite.
  • Impeccable attention to detail.
